Doon Law Mentor โ€” Question ยท
Dear team,
I have created a workflow on pabbly connected:
User fills the form on Flexifunnel  then through webhook data come in Pabbly. All data is receieved in Pabbly connect. then I connect further Pabbly email marketing to add user to subscriber list.
While the user is added to specifed user list in pabbly email marketing, but user first name is not coming showing in subscriber list. What could be the possible issue? And in Pabbly email marketing, I have connected with it a API workflow

Pabbly Email Marketing Workflow Name: Uttarakhand APO Lead Flow

Pabbly Support โ€” Reply ยท

Hello Doon Law Mentor,

The issue with the first name not appearing is due to a change in the data structure coming from your Flexifunnels form.

Previously, Flexifunnels was sending the name data under the key labeled Name, but newer form submissions are now sending it under the key First_name. Because of this change, your current Pabbly Email Marketing step is looking for the old field and returning "No Data".

To fix this, you just need to remap the first name field by following these simple steps:

  1. Open your workflow: Uttarakhand APO Lead.

  2. Scroll down to your second step: Pabbly Email Marketing (V2) - Add Subscriber.

  3. Locate the First Name field (which currently shows 1. name: No Data). Clear out that old selection.

  4. Click into the empty field, open the Flexifunnels trigger dropdown, and select the new 1. First_name key to map it.

  5. Scroll down to the bottom of the step and click Save & Send Test Request to save the changes.

Once remapped, all future form submissions will correctly capture and pass the subscriber's first name into your Pabbly Email Marketing list.

Please give this a try, and let us know if you need any further assistance!

Dear Team,
Now the workflow is working properly. Name of subscriber is being added to subscriber list.

But I do not understand, why the first email, which should go only once) , is being sent to recipient twice and sometime even more. What could be the possible reason and also there is delay in delivery as well. No instant delivery within first 2-3 minutes. Rather than it is being delivered in after 7-8 minutes. What could be the possible reason?

Why a subscriber name is showing more than once in list, how we can ensure, there is no duplicate entry in the list.

Hi there,

Great to hear that the first name issue is fully resolved and the subscriber names are flowing in perfectly now!

Regarding the new observations you mentioned, here is what is happening and how we can fix them:

1. Duplicate Emails & Duplicate Subscribers

The reason you are seeing duplicate subscribers in your list and receiving the first email multiple times is because your workflow is being triggered twice for a single form submission.

  • The Cause: If you look at your Pabbly Connect Task History, you can see multiple successful executions happening at the exact same second (e.g., two identical tasks running at exactly 06:06:07). This happens when the same Webhook URL has accidentally been pasted or added twice inside your form settings.

  • The Fix: Please log into your Flexifunnels account, open the settings for this specific form, and navigate to the Webhook section. Check if the Pabbly Webhook URL has been added twice. If you see two webhooks, simply delete one of them and save the changes. This will instantly stop the duplicate triggers, duplicate subscribers, and duplicate emails.

2. Delayed Email Delivery

We ran a few tests on our end to verify the email delivery speeds, and the emails are being dispatched and received instantly without any lag.

A 7โ€“8 minute delay usually points to local network latency or temporary email server queuing on the recipient's inbox provider side (like Gmail/Outlook throttling incoming mail briefly). Since the Pabbly execution itself is instantaneous, checking your webhook setup in Flexifunnels to eliminate the duplicate triggers will also help stabilize the overall delivery flow.

Please check your Flexifunnels webhook configuration and let us know if the duplicates stop after removing the extra webhook!

Thank you for the update Hrishabh. We checked my flexi setting for this page. form has just once the webhook url. not twice. In that situation what we should do?

Hi there,

Thank you for checking your Flexifunnels page settings. It's helpful to know that the Pabbly Webhook URL is only pasted once there.

Since it's only added once but the Pabbly Connect task history is still showing identical data running at the exact same second, we need to determine if Flexifunnels itself is accidentally dispatching the data twice from the backend.

How we can test this:

  1. Go to Webhook.site and copy the unique test webhook URL they generate for you.

  2. Temporarily replace the Pabbly Webhook URL in your Flexifunnels settings with this test URL.

  3. Submit a fresh test response on your live form.

  4. Watch the Webhook.site dashboard to see if one or two requests arrive for that single submission.

If two requests show up there, it confirms that Flexifunnels' system is sending duplicate data over the network, and their support team will need to fix the form's submission behavior.

To guide you through setting up this simple test, you can watch this quick tutorial video:

How to Test Incoming Webhook with Webhook.site

Please give this a quick test and let us know what you find on the dashboard so we can guide you on the next steps!

Issue of multiple entries on Pabbly Email Marketing is also resolved.
But in Pabbly Connect, Webhook/workflow is still triggering twice at same time. What to do

Hi,

Thank you for your patience!

Our team has gone ahead and configured a Filter step directly inside your workflow: Uttarakhand APO Lead to handle these duplicate dispatches from Flexifunnels.

What We Have Setup:

Right after your Flexifunnels trigger, we added a Filter by Pabbly step with the following condition:

  • Label: data.0.id (The unique form submission ID)

  • Filter Type: "Does not exist"

How This Solves It:

When Flexifunnels fires the first request, it passes through perfectly. When the duplicate request arrives at the exact same second, the filter instantly identifies that this unique run has already been initiated, evaluates the condition as False, and completely stops the duplicate workflow before it can execute any subsequent actions.

The setup is now fully active. Please monitor your incoming form submissions, and you should no longer see duplicate tasks or duplicate emails being sent out! Let us know if everything looks good on your end.
